e-Collittera has 4 different modules consisting of writer, manager secretary, editor and Referees.

e-Collittera and the writer module

e-Collittera ensures a manuscript is sent according to the standards determined by the journal spelling rules. It is sufficient for a writer to monitor software phases and fill in the spaces required by the software. A writer can benefit from all services that are presented by the system to writers by using a special page, which is established through the Internet by e-Collittera and belongs to him. A writer can leave the sending of manuscript unfinished for various reasons at any phases of manuscript sending process to the system. Later, he can continue the manuscript-sending process by re-activating his manuscript and the status of which is displayed on his page.

e-Collittera and the manager secretary module

The e-Collittera manager secretary can monitor the manuscript sent to the journal through the end of the evaluation process and carry out the required correspondences automatically. From the “New Manuscript Received” message to reminder message sent to the Referees (related to any delay of evaluation), all correspondence forms are arranged by the manager secretary in terms of which users they should be sent to and at what time intervals. The rest of the work is realized by e-Collittera automatically. The manager secretary can monitor all manuscripts sent to the system and follow the process. Since all data are recorded in the database, overlooking, losing or forgetting any manuscript due to heavy work conditions, is next to impossible.

e-Collittera and the editor module

e-Collittera ensures the editor can arrange and monitor manuscript collection and evaluation in a practical way. Until the final decision is given for a manuscript sent to the system all processes develop within the information of the editor. These processes, which can be monitored from the “editor main page”, are also reported to the editor via e-mail and SMS. The editors can carry out all of their work, such as Referee appointment, reading and assessing the results of the Referee, inviting new Referee to the system, revision request from the manuscript according to these results, and the acceptance or rejection of manuscripts.

The editor who can see altogether all the manuscripts which have come to the system can monitor in detail the arrival time of the manuscripts and revision request of the manuscript. He has the chance of displaying the reply date of a manuscript from whom a revision requested, acceptance date of the accepted manuscript, rejection date of a rejected manuscript together with reasons. Information related to the evaluation phase of a manuscript, (such as which sending dates and which Referees) can be reached. In same way, the editors can also reach various statistic information and can also reach the organized information related to the Referees. Information such as which Referee has accepted the most manuscripts or which Referee has rejected the most manuscripts can be and thus effective Referee performance can be ensured. One of the most important contributions of the statistic module is being able to monitor any increase in the quality of the journal. A scientific journal editor, who gets e-Collitera support, will see that the variation in the types of the manuscript sent to the journal, occurring obvious improvements in the quality of the manuscripts and most important of all, the quantity of the manuscript sent to the journal and the citation made to the manuscript issued in the journal increase.

e-Collittera and the referee module

The Referees who are invited to the e-Collittera system perform all processes required for evaluation of a manuscript via the Internet. Referees are able to load full text of a manuscript in a PDF form, fill in on-line evaluation forms prepared by the journal management by studying the manuscripts according to paragraph numbers. The Referees add the explanation of the decision they take at the end of the evaluation to the forms and ensure that the editor (and if requested, the author) can access them. They can see the manuscripts that they requested to be revised again after it is sent if they so request.

The arbitrators can access various statistical information about the manuscripts they evaluate. They can easily follow the total of how many manuscripts they have evaluated and the length of time each evaluation took. They can see how many of the manuscripts they evaluated were accepted, how many of them were rejected and for how many of them they requested revision and thus they can receive feedback on issues related to their own performance.
